Re-Using Email Address in RemotePhoto (Provisioning Users That Exist in Other Organizations)
With the release of Version: 24.05.24, RemotePhoto now supports the re-use of email addresses across organizations.
Previously, each user's email address was exclusively linked to the organization that initially created their account. For example, if a user was first registered by Organization 1 (Org 1) in RemotePhoto, and another organization (Org 2) attempted to register the same user with the same email address, Org 2 would encounter an error message indicating that the user already exists.
Now, RemotePhoto supports the re-use of email addresses within multiple organizations. Here's how it works:
- User in Org 1:
- Exists in Org 1 with an active status.
- Org 2 Action:
- Creates a user using the same email address as the user in Org 1.
- The user is immediately archived in Org 2.
- Welcome Email:
- The user receives a welcome email from Org 2 despite being archived there.
- User Status in Org 1:
- Remains active (not archived).
- User Action:
- Authenticates into Org 2.
- Submits a photo in Org 2.
- Status Change Upon Photo Submission:
- The user is unarchived in Org 2.
- The user is archived in Org 1.
- Resulting Status:
- Org 1: User appears as archived.
- Org 2: User appears as active.
Justification: To prevent organizations from having undue influence and manipulating data across different organizations, we have implemented a safeguard. If an organization attempts to create a user with an email address that already exists within another RemotePhoto organization, the user will be archived. This system empowers end users to archive themselves from an old organization and activate their account in a new one. The control rests with the end user, not the organization.
