Use Case Overview

The RemotePhoto–Workday integration enables automatic synchronization of approved employee photos from RemotePhoto into Workday using the putWorkerPhoto endpoint. This integration addresses a common customer need: while organizations use RemotePhoto to handle employee photo capture, quality checks, and AI-based processing, they often lack an automated mechanism to update those photos within Workday. This integration closes that gap by pushing the final, approved image back to each worker’s Workday profile.

This integration operates by polling for newly approved photos in RemotePhoto, then mapping them to the corresponding Workday worker records based on a stable identifier (e.g. employee ID or Workday worker reference). Once matched, the image is encoded and submitted via Workday’s public API.

Data Flow Overview

Directionality: Inbound only — from RemotePhoto to Workday.

Workday Data Movement: Approved photos are pushed to Workday using the putWorkerPhoto API.

Run Frequency: Utilizes long polling from RP to allow real-time data movement. Can be scheduled on a less-frequent basis as well.

User Interface (RemotePhoto)

Interface: The RemotePhoto UI is used by customers to capture, review, and approve photos. Once approved, photos are eligible for sync to Workday.

Endpoint/Auth Config: Handled during onboarding — customers provide Workday API credentials.

Mapping: Worker ID mapping is configured at setup.

Polling Frequency: Managed by RemotePhoto backend.

Additional Notes

Photos are pre-processed by RemotePhoto AI to meet Workday format specs. The integration is fully managed by RemotePhoto; no manual upload or scripting needed by the customer.
