RemotePhoto User Roles

There are several roles with different privileges that can be assigned to users within RemotePhoto. These roles are assigned a la carte, and each role is unique. In other words, a director-level user cannot approve photos like an office user - they are completely different roles. The director would need the office role in order to utilize office role privileges. There will certainly be situations where a user will want / need multiple roles, but as a general rule; four roles or less, is advised. Let's look at the different roles you can have in RemotePhoto.

  • edit organizational settings

Head of card office, your in-house RemotePhoto guru


Director
  • add / edit user roles
  • edit email templates / groups
  • view reporting dashboards
  • access to Bulk import history

Staff who may grant access to RemotePhoto to make changes and track progress 


Email Editor (requires Director role)
  • edit HTML portions of email templates

Whoever needs to be able to make changes to the emails


Office
  • create / edit cardholders
  • approve / deny photos
  • assign / remove users to a cardholder group
  • bulk import users via CSV files
Reco for all staff persons
CSV Importer
  • only import CSV files via Bulk Import
  • no access to Bulk import history (only director has that privilege)
Registrar or database/spreadsheet creator or liaison
Service
  • designates an account as being used by an integration service
    • i.e. RemotePhoto Photo Downloader
  • enables retrieval of API authentication tokens
  • protects API authentication tokens from deletion
This role is meant for API integrations ONLY. Not office users.
Cardholder
  • access to the application
  • submit own photo
  • submit own supporting documents
  • submit answers to custom field questions
Base user of RemotePhoto
Group Manager *Enterprise and A+ Plans
  • able to approve/deny photos for their Cardholder Group only
  • can receive reminders when photos are still needed from their group members
  • can receive a notification when there are pending photos in their group
Person who needs limited visibility to oversee a separate group of Cardholders. To use this feature a unique set of emails (Welcome, Approval, Denial, Login) will need to be constructed. 
Person Manager *Enterprise and A+ Plans
  • only able to approve/deny photos for specific other users who are associated directly to them
Staff who has similar need to Group Manager, but for fewer people. Does not require additional email templates. Can be used by Cardholder in Default or added Group.
