How to Archive or Delete Users
After a user's photo and record have reached the end of the online photo submission process, you can archive or delete their record.
We have a few different ways to do that:
Individually Archive
Click on the record that you would like to archive. At the top, you will see the "Archive" button. Simply click that button to archive the user's record.

Deleting Photos
To delete a record, you must first archive and then anonymize it. After following the archive step above, you are ready to anonymize.
Click on the Anonymize button.

Click on the Delete button.
Once you click on Delete, this process cannot be undone.

Automatically Archive
This can be done by the Super Director role. Under the Organization Settings, Click on "Download Settings". You will see "Automatic Archive" and a dropdown menu that you can click on.

There are several options to choose from if you would like to automatically archive cardholders:
- Disabled
- This will disable the automatic archive feature
- Archive when a photo is downloaded
- Once a photo has been downloaded, the record will be automatically archived
- Archive people when their photo is marked done
- Once a photo is marked done, the record will be automatically archived
- Archive & anonymize people when their photo is downloaded
- Once a photo is downloaded, the record will be automatically archived AND anonymized
- Archive & anonymize people when their photo is marked done
- Once a photo is marked done, the record will be automatically archived AND anonymized
Bulk Archive & Delete
This can be done through the bulk import options within the "People" list.
